Executive Assistant Wanted

 

Culture Lab LIC is seeking a dynamic, driven Executive Assistant to join our growing team and organization.

 

The Executive Assistant position will have the ability to apply skills from diverse areas and learn more about different facets of running a non-profit arts organization. Unlike typical Executive Assistant positions, this role at Culture Lab LIC will be hands-on and will provide both onsite events support as well as office administrative support. The Executive Assistant will assist in the areas of Gallery, Events/Programming, Operations, Marketing, Development, and Facilities. The Executive Assistant will be a critical team member who will provide general support to Culture Lab LIC’s four current directors.

 

We are looking for a true team member - someone looking to grow with a rapidly developing and expanding organization. Fresh ideas and new strategic approaches are always welcomed to be brought to our table. We want candidates excited and enthusiastic about working in the arts & culture industry!

 

Employment Terms: $25/hr @ 28 hours/week, year-round + CC Tips during events worked. While this role will begin at a part-time level, the goal for this position is to grow into a full-time, salaried position with Culture Lab LIC employee benefits.

Executive Assistant responsibilities will include:

Gallery:

○ Fine artist communication

○ Creating exhibition art labels

○ Overseeing art sales

○ Opening/closing gallery

○ Exhibition changeovers (patching/painting gallery walls)

○ Providing great customer service for artists, curators, and customers alike

○ Creating and implementing necessary signage throughout the gallery spaces

 

Programming, Operations, Marketing:

○ Support with volunteer coordination

○ Community events’ logistics and support

○ Programming support (bands, theater, etc.), serving as a performing artist liaison

○ Creating and printing monthly event posters

○ Social media content creation support

○ Drafting contracts for rentals, partners, etc.

○ Event execution from set up to breakdown (set up chairs, put out trash cans, setting up POS systems and registers, closing night reports, etc.)
 

Development:

○ Membership platform coordination

○ Grant research/organizing

○ Working collaboratively with the Director of Operations and team to create and execute special fundraising events, including Culture Lab LIC’s annual gala

 

Facilities:

○ Regular maintenance and care for space

○ Cleaning, moving chairs/equipment, preparing and presenting space for holdings/rentals/events

 

Engaging with our community and representing the mission & goals of Culture Lab LIC!

 

The ideal candidate will have:

● Strong project management skills - Culture Lab LIC operates with two gallery spaces, a cafe lounge/bar, a back bar, and theater/dance space and a full outdoor concert venue!

● Strong computer skills with knowledge of spreadsheets & Google Suite

● Customer service orientation

● Strong communication skills

● Leadership & Professionalism

● Detail Orientation with the ability to multitask

● Previous experience of working in a Fine Art Gallery or Venue is preferred but not required if you demonstrate a high level of knowledge of & passion for the arts

● Experience in the service industry

● An understanding of marketing and PR would be a distinct advantage - Social media knowledge is a plus!

● A hustle mentality - someone who thrives in a fast-paced environment, is adaptable, and takes initiative. The ideal candidate is eager to tackle challenges head-on, find creative solutions, and consistently exceed expectations in a growing, changing environment.

 

Desired Skills and Qualifications:

● Bachelor’s degree, some level of higher education

● ~2-4 years in related/relevant positions

● Experience working in Events Production and Management

● Passion for the Arts! Desire to work in performing arts & fine arts

● Knowledge of Square POS System and other relevant POS systems is a plus

● Ability to lift 50 lbs or more for production setup and breakdown

● Comfortable working outdoors during our summer season (May-October)

● Not afraid to get your hands dirty!

 

Schedule:

The schedule for this position will be built out with our team and around our programming schedule. We expect one office day (onsite or remote) and shifts onsite revolving around the weekends (Thurs-Sun). Ability to work some late nights for special events required.
